Architecture Design Process

An outline of phases for a given Architecture project is at right. Phases and their details will vary according to the project's specifics, contract, and the Owner/Client Collaborator’s needs and available funding to compensate consultants and/or contractor(s) and vendor(s).

Throughout the process, the Architect coordinates with the other design team consultants, as well as the Owner/Client Collaborator and their consultants. Owner/Client Collaborator provides written approval to proceed with the next phase of work at the conclusion of each phase.


  • Prospective Client Collaborator completes a Project Request Form with the following information:

    :: Preliminary Project Description

    :: Identify the Primary Client Contact Person

    :: Establish the baseline for the Scope of Work, Project Schedule, and Project Budget

    A Consultation Meeting will follow to discuss the details of the form and next steps.

  • The initial planning phase of project development.

    Deliverables Might Include:

    :: Scope of Work, developed beyond the Project Request Form per site visit observations

    :: Total Project Budget Estimate of Hard (Construction) and Soft Costs (Consultants, etc.)

    :: Total Project Schedule Estimate

    :: Development of Requests for Proposals (RFPs) for other consultants, if needed.

    Desired Outcome:

    :: Owner/Client Collaborator will have substantial information to determine if they will proceed with the next phase: An estimate of the scope of work, total project budget estimate, and total project schedule estimate.

  • Meetings for the Scope of Work such as Space Programming or specific building components such as windows

    Deliverables Might Include:

    :: Space Program, Schematic Design of outline specifications and carton set of drawings, and a Total Project Budget Estimate OR

    :: Master Plan and Rough Order of Magnitude (ROM) Cost Estimate

  • The next step of development for specifications and drawings.

    Deliverables Might Include:

    :: Specifications with more information beyond an outline

    :: Drawings with floor plans, details

    :: Cost Estimate

  • The next step of development for specifications and drawings.

    Deliverables Might Include:

    :: Specifications with more information beyond an outline

    :: Drawings with floor plans, details

    :: Permit Set for the Authority Having Jurisdiction, if needed.

    :: Cost Estimate

  • Architect’s Tasks Might Include:

    :: Development of Request for Quotes (RFQs) for contractors to bid on the project per the drawings and specifications in the previous phases.

    :: Coordinating and attending site walkthroughs with prospective bidders

    :: Reviewing Bids and preparing a Bid Tabulation and analysis of the bids received (Bid Tab)

    :: If the owner does not have an Owner’s Rep, additional services: Review contractor construction contracts

  • Architect’s Tasks Might Include:

    :: Host the Pre-Construction (Pre-Con) Kick-Off Meeting with the Owner, contractor Architect/Engineer, and Vendors

    :: Host the Weekly Owner/Architect/Contractor Meeting with site visits to observe Contractor's progress

    :: Complete a Substantial Completion Checklist after reviewing the Contractor’s construction progress

    Deliverables Might Include:

    :: Site Visit Reports

    :: Architect/Engineer issues a Certificate of Substantial Completion to the Contractor

  • Tasks Might Include:

    :: Attending Move Coordination Meetings with the Client Collaborator/their Owner’s Rep

  • Contractor’s Deliverables Might Include:

    :: Punchlist Items: Items in need of correction identified by the Design Team as not aligning with the construction documents/contract documents

    :: Operation + Maintenance (O+M) Manuals and Owner/Client Collaborator Training

    Architect/Engineer Design Team and/or Contractor Deliverable Might Include:

    :: Revit and CAD files


Historic Preservation Design Process

An outline of phases for a given Historic Preservation design (rehabilitation) project is at right. Phases and their details will vary according to the project's specifics, contract, and the Owner/Client Collaborator’s needs and available funding to compensate consultants and/or contractor(s) and vendor(s).

Throughout the process, the Architect coordinates with the other design team consultants, as well as the Owner/Client Collaborator and their consultants. Owner/Client Collaborator provides written approval to proceed with the next phase of work at the conclusion of each phase.

    :: Site visits to note observations of building elements and systems and interior and exterior historic features

    :: Analysis of site observations

    :: Non-invasive materials testing and analysis such as infrared thermography

    Tasks Performed by Others Might Include:

    :: Invasive materials testing such as probes performed by a Contractor

    Mtight split this phase into multiple phases according to Owner/Client Collaborator’s funding.
